GBI has experienced tremendous success over its history in both the private and public market with projects spanning multiple states and multiple disciplines, including airports, bridges, dams, golf courses, harbors, highways, housing developments, marinas, parks, wastewater treatment facilities and wind and solar farms.

 

GBI has always maintained that our employees are our greatest asset and we are now seeking to add to our team in Maui. We are searching for a qualified candidate to fill an opening for a Site Administrative Assistant. This position provides administrative support to the job site reporting to an immediate supervisor as assigned by the Regional Manager. This candidate will perform clerical work and additional assignments received from project engineers as time permits.

ESSENTIAL FUNCTIONS:

  • Answer phone calls for the job site. Obtains pertinent information; caller’s names, determines nature of business, directs callers to appropriate destination and contact information.

  • Job site filing of all correspondence and job files.

  • Uses word processing equipment to type memoranda, emails, letters, transmittals, faxes and other forms, as instructed. Schedule business meetings as instructed.

  • Organize storage for plans and specifications pertaining to the job site.

  • Faxes documents to correct fax number and person, as instructed.

  • Makes the appropriate number of copies of documents, as instructed.

  • Organizes and maintains files, which are in compliance to the company’s standards.

  • Sends and responds to emails as instructed.

  • Opens, sorts and delivers mail internally to correct personnel. Date stamps each piece of mail.

  • Processes payroll.

  • Orders supplies and keeps Project Engineer informed of status of supplies.

  • Creates address database and updates database as needed.

  • Regular attendance is required for the position.

  • Must be able to drive a company vehicle for work purposes; run errands and be able to travel to multiple projects island wide for support.

  • Performs other duties as assigned.

 

REQUIRED SKILLS:

  • High School Graduate or General Education Degree (GED) and two plus years of experience in administrative experience

  • Must have computer experience using Microsoft Word, Access, Excel and Power Point.

  • Possess a valid driver's license and clean driver's abstract of record
