Description

POSITION SUMMARY
Assists the Subcontracting Administrator with entering executed subcontracts and change orders into company database. Works with subcontractors to obtain necessary documentation. Works with Cost Accountants to gather and prepare information for submittal to Accounts Payable. Scans various documentation into online system. Assists with various administrative and front desk duties.

Essential Functions Statement(s)
  • Enter executed subcontracts and change orders into eCMS
  • Print and post billings from California office daily
  • Work with Subcontractors to obtain Union letters
  • Collect documentation, Lien Releases/Joint Check information and mailing instructions from Cost Accountants. Give all documentation to A/P to prepare checks on Tuesdays and Fridays
  • Obtain/Renew all Licenses from City and State agencies
  • Scan and enter Subcontract documentation into company database
    • New Subcontract
    • New Insurance Certificates
    • Change Orders
    • Check Copies
    • Estimate copies
    • Lien Releases
    • Union Letters
  • Share front desk duties
    • Answer incoming calls
    • Pick up mail, open, stamp and distribute
    • Help order office supplies
    • Prepare Fed-Ex envelopes
  • Update phone directory monthly and upload to company database
  • Plan Corporate office Christmas party
  • Help Engineering Assistant with miscellaneous duties
    • Travel
    • Estimating/Bid proposals
    • Prequalifications

Experience:             No prior experience necessary
 
Computer Skills:      Intermediate level Word, Excel, Outlook required
                                Experience with eCMS, or any ERP system, preferred

Other Requirements:        Basic accounting skills required

WORK ENVIRONMENT
Work is performed in an air conditioned office environment. Indoors, employee will be in contact with chemicals (i.e., toner for copier and facsimile machines), and materials (i.e., paper) normally found at offices.
